Do-I-need-a-Copier-Service-Contract-Part-1-common-sense-business-solutions-CADuring my 30 years in the business copier machine industry I’ve been asked hundreds of times whether it makes sense to invest in a copier service contract or whether it’s better to simply pay for copier repair as needed. One school of thought by new copier buyers is that if the machine that they are buying is a high quality product, then there shouldn’t be much need for copier repair. Therefore why would they invest in a copier service contract? This is a reasonable question and I advise that you consider the five following points as a way to increase your company’s ROI benefits.

High Cost Of Supplies

A business copier machine uses a high volume of very expensive supplies that need to be regularly replaced. On a color copier machine you have 4 separate toner cartridges all of which retail for nearly $200.00 each, 4 separate drum units that also retail for approximately $200.00 each and separate developer units that all cost approximately $600.00 each. In addition to these you also have a fuser unit at approximately $800.00 and a transfer belt that is approximately $400.00. That is a list of 14 high price consumable parts that need to be replaced regardless of the reliability of your copier machine.  Drums and the developer units are like the tires on a car while toner is like the gasoline in a car.

Regardless of the quality of the car, every so many miles you drive you have to add gas and as the miles add up, you will expect to replace an expensive set of tires. When you invest in a copier service contract all of these expensive supplies are covered hence quality management is at its best. When you pay as you go you will not only incur the high cost of these supplies, but you will also have to pay the labor rate for a technician to install the parts.

Minimize Down Time When Repairs Are Needed

One often overlooked aspect to whether it makes sense to invest in a copier service contract is the delays caused by employees needing authorization from a supervisor in order to schedule a request for copier repair. When you have a service contract in place everything that the machine needs is covered at no extra cost. This promotes employee empowerment within the organization and because of this, any employee can schedule and authorize a copier repair appointment. When a company is paying for a service as needed and there is need for copier repair, then an employee often needs to enlist a supervisor for authorization to schedule a copier repair visit. This delay increases the amount of time that a company is without their copier machine. Additionally, once a copier repair visit has been scheduled and the technician arrives, there is a good chance that the technician will advise the need to replace an expensive part to complete the repair. This expensive part may require additional supervisory authorization. If the authorization can’t be granted on the spot then the technician will leave and you will have to schedule/pay for an additional copier repair visit. All of this added expense and down time can be eliminated if you have a copier service contract. Therefore contact us and let us help you improve your company’s productivity and bottom line.
